FOR U.S. BOUTIQUE RETAINED-SEARCH FIRMS

AI client follow-ups and meeting briefs for executive search.

A past client said, “Call me after the board meeting.” Then an active search took over. The note stayed in the CRM, the follow-up date passed and nobody picked it up. You have the relationships. Keeping the right conversations moving is the hard part.

We implement agentic solutions that bring account history, due follow-ups and meeting preparation into your existing CRM or ATS workflow. Built with security in mind, with controlled access and human approval.

A conversation with Yuval about where work gets stuck and what to fix first.

WHO THIS IS FOR

For retained-search partners who also own the pipeline.

Your firm

You lead a U.S. boutique retained executive-search firm winning senior leadership mandates through established relationships.

Your role

You are the founder, managing partner, practice leader or consultant responsible for bringing in client work.

Sound familiar?

You have an ATS or CRM and valuable account history, but delivery work crowds out preparation, account reviews and timely follow-up.

THE PROBLEM YOU KNOW TOO WELL

Business development gets whatever time the active searches leave.

The relationship is already there. The missed opportunity is often a forgotten commitment, scattered context or a next step everyone thought someone else owned.

01

You remember the conversation after the right moment passes

A client mentioned a leadership discussion or asked you to reconnect on a specific date. The detail is in a note you have not reopened since the meeting.

02

Every client call starts with a search for context

You scan the CRM, search email and ask a colleague what happened last time. Preparation takes longer when the account history is spread across people and systems.

03

A promising discussion ends without an owned next step

Someone offered an introduction. Someone else planned to follow up. With no clear owner or date, a warm conversation can quietly disappear behind delivery work.

WHAT COULD CHANGE

Keep client development moving between active mandates.

Put the relevant commitment, account history and next step in front of the relationship owner. Your partners can prepare a more useful conversation without piecing the context together from scratch.

01

Reconnect with a reason

Surface an agreed check-in, an unfulfilled commitment or an approved account signal with the supporting record. Give the consultant something specific to assess before reaching out.

02

Arrive prepared for the CEO or CHRO

Assemble prior mandates, stated priorities, relationship history and open questions into a concise meeting brief. The partner can use preparation time to shape the conversation.

03

Keep the opportunity moving across the team

Turn an approved next step into an owned task and record the outcome. A colleague can continue the relationship with the decisions and commitments in view.

AGENTS AT WORK

Less chasing.
More work moving.

We implement the agents, connect your tools and shape the work around your team.

01

See which client commitment is due next

Account actions suggested from your approved rules, such as an agreed check-in date or open commitment. Each item includes the reason, relevant source and proposed consultant owner.

02

Walk into the call with the history ready

A concise account view covering prior assignments, relevant contacts, client priorities, recent conversations and questions to confirm. Show source links and dates so the consultant can check freshness.

03

Follow up with a reason the client recognizes

Prepare a short message or call outline tied to the actual relationship. The account owner edits the content, decides whether contact is appropriate and controls sending.

04

Make the next step someone’s responsibility

Capture the approved next step, its owner and the meeting outcome in the agreed CRM workflow. Keep context available when another consultant joins the account.

IMPLEMENTED FOR YOU

We handle the build.
Your team keeps moving.

An agentic solution built around your business: AI agents that carry out the connected steps, with your team in control of key decisions.

  1. 01

Show us where it gets stuck.

Walk us through one recurring bottleneck. We map the work, the people and the tools, then agree on a useful first implementation.

  2. 02

    We build and connect it.

We configure the agents around your process and connect the CRM, files and communication tools the work depends on.

  3. 03

Test it together. Put it to work.

We test real examples with your team, refine the handoffs and train the people who will use it before rollout.

YOUR CRM. YOUR TOOLS.

Built around the systems you already use.

Build around the ATS or CRM your consultants already use. Define the account records and interaction sources needed for the first client-development workflow, then confirm how approved updates return to the system.

A FOCUSED FIRST STEP

Test it on a defined group of existing client relationships.

Choose accounts whose history your partners know well. Agree what makes a suggestion relevant, then test weekly opportunity review and meeting preparation against consultant judgment. Track actual follow-through before expanding the account group.

Talk about missed client follow-ups

Prepare before the meeting. Review opportunities each week.

Configure briefs around upcoming client meetings and an agreed weekly account review. The pilot measures time to a useful brief, accepted follow-up suggestions and meetings generated from approved actions. New mandates and revenue are tracked over the actual sales cycle; neither is assumed from a generated suggestion.

What we test before expanding
  • Minutes to prepare a useful client-meeting brief
  • Suggestions accepted, edited or dismissed and why
  • Qualified client conversations from approved follow-ups
  • Opportunities and retained mandates over the measured sales cycle

BEFORE WE START

Good questions.
Clear answers.

Who handles the implementation?

FutureProof handles the workflow mapping, agent build, integrations, testing and team training. You provide a process owner, access to the relevant tools and a few real examples. We agree the effort and rollout plan with you before starting.

Can you work with our CRM and existing tools?

Yes—we build around your existing setup, including major CRMs, email, document tools and industry systems. We confirm the connections your workflow needs during mapping and use available integrations or custom connections where supported. Your software plan and access permissions determine what can be connected.

Do we need to replace our ATS or CRM?

The starting point is your existing account system. We assess access and data quality, then define the smallest useful relationship workflow. A major migration is a separate project if the underlying system needs it.

Will it send outreach automatically?

This offer prepares briefs and drafts for the account owner. The consultant controls recipient, timing and wording. Any later sending capability needs an explicitly agreed communication workflow.

How is this different from a candidate-sourcing tool?

This project supports the commercial side of retained search: developing client relationships, preparing partners and following through on account opportunities. It does not score candidates or make hiring recommendations.

LET’S LOOK AT YOUR BOTTLENECK

Which client relationships have gone quiet while you were delivering searches?

Talk through one account-review routine with Yuval. We’ll identify the commitments your team loses track of and a practical way to keep relevant client conversations moving.

  1. Tell us what gets stuck and which tools you use.
  2. We review the details before speaking with you.
  3. You can choose a call time after submitting.

A brief description is enough. Please keep confidential client records and passwords out of the form.
