FOR U.S. IMMIGRATION LAW FIRMS

AI intake and case workflows for immigration law firms.

The consultation is over, but the client is still waiting for the next step. Someone needs to confirm the case type, choose the right questionnaire, prepare the document request and update the case system. When that handoff depends on one busy person, the whole team waits.

FutureProof builds and implements agentic solutions around your firm’s actual case workflows. Built with security in mind, with controlled access and human approval.

A conversation with Yuval about where work gets stuck and what to fix first.

Illustrative immigration-law workflow: approved intake and confirmed case type, document pack and case tasks, authorized review, then a client request and tracked missing items.

WHO THIS IS FOR

For immigration partners and the teams keeping cases moving.

Your firm

You run a U.S. immigration law firm with repeat family, employment or investor case workflows.

Your role

You are the managing partner, operations manager or senior paralegal responsible for intake, case preparation and client follow-up.

Sound familiar?

Your team uses a case system, email and shared files, but still copies information and chases the next step by hand.

THE PROBLEM YOU KNOW TOO WELL

The work between the legal decisions keeps piling up.

Your attorneys know which work needs their judgment. Routine handoffs, missing documents and disconnected status updates keep pulling them back into administration.

01

A good consultation becomes a slow start

The intake notes are ready, but selecting the right document pack and drafting the next email still sits in someone’s queue. The client calls again because they do not know what to send.

02

The same facts are entered in several places

A client’s details move from the consultation notes to a questionnaire, case record, engagement letter and billing system. Every handoff creates another place to check and correct.

03

Case status lives with the person who last touched it

The office has to search email, spreadsheets and case notes to answer a client, find a missing document or establish who owns the next action.

WHAT COULD CHANGE

Move the case forward without rebuilding the handoff.

Prepare the routine work around each legal decision so staff can review a complete next step. Measure whether the change reduces waiting, repeated entry and follow-up effort.

01

Make the next step clear to the client

An approved request explains which documents are needed and where the client should send them. The case team can see what has arrived and what still needs attention.

02

Give staff fewer places to check

Bring the agreed case information, assigned work and communication history into the view your team uses. Keep unresolved questions visible instead of guessing missing facts.

03

Build a practical path to a larger platform

Use the first workflow to establish your templates, permissions and acceptance checks. Add scheduling, billing, reporting and broader case operations as their business value becomes clear.

AGENTS AT WORK

Less chasing.
More work moving.

We implement the agents, connect your tools and shape the work around your team.

01

Prepare the next step while the intake is still fresh

Turn approved consultation notes and a staff-confirmed case type into the appropriate questionnaire, document checklist and draft client message. Your team reviews the pack before anything goes out.

02

Give each case a clear owner and next action

Keep approved case details, received documents, missing items and assigned tasks together. Show what needs attention without making staff reconstruct the case from email.

03

Keep scheduling and billing connected to the matter

Where supported, connect consultation bookings, engagement status and invoice follow-up to the case record. Define approvals and reconcile exceptions with the team that owns the work.

04

Expand after the first workflow proves useful

Add attorney-reviewed form preparation, case reporting, office routines or a broader custom platform in agreed stages. Migration from an existing case system gets its own export, validation and acceptance plan.

IMPLEMENTED FOR YOU

We handle the build.
Your team keeps moving.

An agentic solution built around your business: AI agents that carry out the connected steps, with your team in control of key decisions.

  1. 01

Show us where it gets stuck.

Walk us through one recurring bottleneck. We map the work, the people and the tools, then agree on a useful first implementation.

  2. 02

    We build and connect it.

We configure the agents around your process and connect the CRM, files and communication tools the work depends on.

  3. 03

Test it together. Put it to work.

We test real examples with your team, refine the handoffs and train the people who will use it before rollout.

YOUR CRM. YOUR TOOLS.

Built around the systems you already use.

Start with the tools your team already uses. We assess the available access to your case system, email, calendar, document storage and billing tools before agreeing the connections.

  • Outlook
  • Google Drive
  • HubSpot
  • Salesforce
  • Gmail
  • Slack

Examples of tools we can connect. We confirm your software, access and required actions during mapping. Using something else? Tell us your setup.

A FOCUSED FIRST STEP

Start with one repeat intake workflow.

Choose a case type your firm handles regularly. Map the current handoff, agree the approved templates and test the workflow on representative examples before a controlled rollout. We handle the implementation and train the team using it.

Talk about your intake workflow

Measure the handoff your team can control.

Track the time from complete, approved intake notes to a reviewed document request. This is an office-workflow measure, not a promise about government processing times or case outcomes.

What we test before expanding
  • Time from approved intake to an approved document request
  • Staff preparation and review minutes per case
  • Missing items, corrections and duplicate data entry
  • Cases with a named owner and a current next action

BEFORE WE START

Good questions.
Clear answers.

Is this a new software subscription?

It is an implementation service. We map the workflow, build the agents and connections, test them with your team and support the agreed rollout. A broader custom platform is a separate scope when that fits your firm.

Can you work with our current CRM and case tools?

We build around your existing setup where access is supported. During mapping, we check software plans, permissions and integration options before committing to a connection or migration.

How do you handle confidential case information?

We agree which records the workflow may access, who can review drafts and which providers and retention settings your firm permits. Access controls and approval steps are tested before live use.

Will an agent give legal advice or file applications?

The offer supports preparation and office operations. Attorneys own legal advice, eligibility assessments, final review and filing. Any official system connection needs separate validation and authorization.

How fast can our office use it?

We set the rollout plan after mapping one workflow and confirming access. The pilot measures preparation and review together. Timing depends on the scope, templates, integrations and availability of your reviewers.
